  • We are hiring an experienced Administrative Specialist to provide administrative support for all operational and project-related activities.

Main Responsibilities:
  • Answer and respond timely to customer, vendor, and technician emails and phone calls.
  • Process invoices.
  • Verify daily reports and timesheets.
  • Update spreadsheets and send to the correct destinations.
  • Oversee multiple Meter Technician's daily paperwork.
    • Enter gas meter information in the Xcel system.
    • Verify gas meter information on gas meters that were set the previous day.
    • Cross-check the gas meter information on the Technicians' daily reports.
    • Create and close orders in the Xcel system.
  • Call customers for appointments to bring meters up to Xcel standards.
  • Call builders for information for new gas meter installations.
  • Do reminder calls for appointments.
  • Send work orders to Technicians for next day's work.
  • Handle and problem solve miscellaneous Xcel issues that arise.
  • Create spreadsheets for jobs.
  • Assist with questions in Xcel systems.

Required Qualifications:

  • High school diploma or equivalent.
  • 1+ year professional administration and/or customer service.
  • 6+ months of invoicing experience.
  • Proficiency in Microsoft Office, specifically Excel and Word.
  • Ability to operate office equipment such as fax machines, copiers, and phone systems.
  • Independent judgment to plan, prioritize, organize diversified workload, and recommend changes in office practices or procedures.
  • Effectively manage multiple tasks or projects with competing deadlines, and produce accurate results with a proper sense of urgency for customers and co-workers.
  • Prepare spreadsheets to calculate amounts such as cumulative invoicing, retainage, and deliverables.
  • Ability to learn new software quickly.
  • Effective written and oral communication.

Preferred Qualifications:

  • Associate's degree or significant college coursework in business management, human resources, accounting, or a related field.
  • 3+ years professional administration in the construction or utility industry.
  • Experience with web portals for time and attendance.

Pay Range: $23.00- $25.00/hr
