About the Position:
Managing administrative needs for staff of 18 in the University Advising Center, including front desk duties, budget, maintenance, running queries, scanning records into Imaging, and answering questions from incoming and current students and parents. Front line communication with students, parents, staff, and colleagues both in-person and via phone/ email. Coordinates emergency response protocol for office.
Essential Functions:
- Resolve administrative questions, concerns, and inquiries via email, phone, and walk-ins for students, parents, staff, and other SMU Departments and offices. Assist students with enrollment questions, schedule appointments, and organize meetings. Support the advisors as needed during busy enrollment periods.
- Run, sort, distribute, and analyze query reports in my.SMU and myHilltop. Coordinate communications in myHilltop. Support the ALEC and ASD with data management and communications, as needed.
- Responsibilities during Summer and January Mustang Start-Up (Orientation) include making advisor assignments, adding students to the Pre-Advising Canvas Course (PACC), monitoring student progress through the PACC, and serving as the final step in matriculation process for incoming students.
- Support the Director of the UAC with specific tasks as assigned (graphic design, social media, etc.).
- Collaborate with UAC director to manage departmental budget, order supplies, submit facility requests, organize meetings, and oversee smooth overall operation of the UAC and its 18 staff members.
Qualifications Education and Experience:Associate's degree is required. Bachelor's is preferred.
A minimum of 2 years of experience in administrative or clerical support is required.
Preferred experience includes: purchasing, project management, social media management, and digital record maintenance.
Knowledge, Skills and Abilities:Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.
Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.
Candidate must be proficient in Microsoft Office (Word, Excel). Proficiency in PeopleSoft, queries, and web design is preferred.
Candidate must be available for evening and weekend work from June-August.
