The Degree Audit System Analyst is responsible for maintaining and enhancing the institution's degree audit and academic planning systems to ensure accuracy, reliability, and alignment with the college's curricula and academic standards. This position conducts testing related to curriculum changes, prerequisites, system updates, and degree audit functionality to ensure accuracy and seamless operation. The role also provides training to advisors, faculty, and staff on related systems and processes and assists with maintaining the transfer articulation database. The position plays a key part in supporting student success and improving the overall student experience. This position reports to the Director of Registration and Records/Registrar.
Responsibilities
Degree Audit & Academic Planning Maintenance
Update and maintain the Degree Works degree audit system, including scribing program requirements in alignment with college curricula and academic policies and standards.
Perform quality assurance checks to ensure accurate degree audit results and system integrity.
Analyze and troubleshoot issues related to degree audits and academic planning tools.
Configure and maintain academic planning components; collaborate with others in performing activities supporting student completion and retention initiatives.
Collaborate with the Teaching and Learning unit in building and maintaining course prerequisites and placement requirements; perform course prerequisite and placement requirement testing as needed.
Provide assistance with the maintenance of transfer-in articulations within Banner; provide support to public-facing transfer-in articulation resources.
Data Reporting & Training
Run and create reports and queries as needed to support and assess student completion and retention initiatives, system performance, and overall operational efficiency.
Provide training to advisors, faculty, and staff on Degree Works, academic planning tools, Banner processes, and self-service workflows.
System Testing & Functional Updates
Participate in ongoing system testing, including upgrades, patches, and releases.
Stay current on new features, enhancements, and best practices for Degree Works, Banner, and related systems.
Identify opportunities for business process improvements and make recommendations to adapt processes and systems to achieve greater efficiency.
Compliance & Other Duties
Collaborate with the Financial Aid Office to support Course Program of Study (CPoS) Banner functionality and procedures aligned with compliance requirements.
Maintain strict confidentiality of student records in accordance with the Family Educational Rights and Privacy Act (FERPA).
Perform other duties as assigned.
Minimum Qualifications
Bachelor's degree
Two or more years of experience working with degree audit systems (e.g., Degree Works, or similar platforms) and student information systems.
Knowledge of academic policies, curriculum structures, and registration processes in higher education.
Strong analytical and troubleshooting skills, with the ability to interpret academic policies and programs and translate them into system logic.
Excellent written and verbal communication skills.
Demonstrated ability to train and support end users with varying levels of technical proficiency.
High attention to detail and commitment to accuracy.
Preferred Qualifications
Experience maintaining/scribing academic requirements in Ellucian Degree Works or similar degree audit platform.
Experience with Ellucian Banner.
Experience working with transfer credit articulation systems.
Familiarity with CPoS (Course Program of Study) compliance and reporting.
Advanced knowledge of prerequisite management, curriculum processes, or catalog systems
