Job SummaryUnder general administrative direction, perform complex analytical and developmental work related to movable equipment processes and accounting, including year-end close activities. Provide functional support across University Accounting and Financial Reporting operations, and contribute to the development, implementation, and ongoing maintenance of policies and procedures within assigned areas of responsibility. Operate effectively in a dynamic environment characterized by frequent interruptions and competing priorities, demonstrating strong organizational skills, adaptability, and the ability to manage multiple tasks concurrently. Exercise sound judgment and maintain accuracy while working under pressure to ensure daily operational requirements are consistently met. Duties & Responsibilities

  • Assist the Assistant Director in performing routine assigned reconciliations, including weekly and monthly reconciliations, to ensure the accuracy, completeness, and consistency of financial and asset data between multiple systems. Investigate and resolve discrepancies in a timely manner.
  • Analyze transactional and supporting documentation to validate the accuracy of movable equipment costs for both tracked and capitalized assets. Ensure proper capitalization, classification, and recording in accordance with university policy, regulatory requirements, and applicable accounting standards.
  • Assist the Assistant Director with data queries, data extraction, and analytical review to support financial reporting, operational analysis, and audit requirements.
  • Monitor departmental compliance with university policies, regulatory requirements, and best practices related to movable equipment and asset management. Identify process gaps and recommend corrective actions as needed.
  • Prepare quarterly depreciation calculations and projections for UIC Hospital units, ensuring accurate recording and reporting in the financial system.
  • Assist the Director in coordinating and monitoring audit requests, compiling supporting documentation, and ensuring accurate and timely responses to internal and external auditors.
  • Conduct periodic review and audit of departmental processing activities, including, but not limited to, quarterly asset attributes, tracking for year-end reporting for Gift-in-Kind general non-cash addition transactions, art and library collection additions, and adjustments to ensure accuracy, proper valuation, and compliance with applicable policies and reporting requirements.
  • Assist with year-end closing activities.
  • Review and coordinate deferral and accrual postings in collaboration with the University Accounting Services (UAS) team to ensure accurate year-end financial reporting. Develop a correspondence in coordination with University Accounting Services (UAS) to communicate updates, policy changes, and procedural guidance to campus units. Serve on University, Campus, and/or University Accounting committees/teams as assigned. Perform other duties appropriate to the position of Financial Accounting and Reporting Analyst as assigned.
Minimum Qualifications
1. Bachelor's degree with a major in Accountancy or a related field AND two (2) years of professional-level accounting experience.

OR Possession of current registration as a Certified Public Accountant (CPA), Certified Management Accountant, or a valid license to practice Public Accounting (LPA).

OR Master's degree in accountancy or a related field.
Preferred Qualifications
Preferred:
1. CPA Certification or documented progress towards a CPA Certification
2. Working knowledge of SCT Banner Finance modules
3. Knowledge of the State of Illinois reporting requirements
4. Database management experience
5. Experience working with higher education and/or other fund accounting systems
Knowledge, Skills and Abilities
  • Demonstrated analytical skills to perform financial analysis of business transactions and perform complex reconciliations.
  • Knowledge about querying and reporting tools (e.g., Microsoft Access).
  • Effective technical skills.
  • Strong verbal and written communication skills to effectively present information and respond to colleagues and others seeking guidance and/or clarification about issues.
  • Strong interpersonal skills to establish and maintain effective working relationships.
  • Ability to multitask and produce accurate, detail-oriented work to meet stringent deadlines.
  • Creativity in problem-solving and exercising independent judgment and discretion.
  • Proficient in computer skills, including Microsoft Word, Excel, and Outlook.
Appointment Information
This is a 100% full-time Civil Service 5000 - Accounting Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 3/31/2026. Sponsorship for Work authorization is not available for this position. System Office jobs such as this one are not eligible for the Referral Program.

The budgeted salary range for the position is $55,000 to $62,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
