Mid-Atlantic Permanente Medical Group (MAPMG) invites applications for a Temporary Continuing Medical Education (CME) Coordinator to join our Medical Education Department. This position is a temporary, full-time, 40 hours per week opportunity based out of our regional office located in Washington, DC with a hybrid work model. Please note, this position is ineligible for benefits and is expected to support departmental operations for the duration of the temporary assignment.

Reporting to the Senior Program Manager, Continuing Medical Education (SPM-CME), the Temporary CME Coordinator provides day-to-day administrative and program coordination support for MAPMG’s accredited CME program. You will support the delivery of high-quality, evidence-based educational activities designed to improve physician competence, performance, and patient outcomes across MAPMG’s community of more than 1,900 physicians in the Mid-Atlantic region. Position responsibilities would include collecting, reviewing, editing, documenting, and organizing activity information, communicating directly with planners to coordinate Regularly Scheduled Series (RSS) activities, creating and setting up CME evaluations and follow up surveys in Articulate Storyline and the Learning Management System (LMS) and generating various reports for SPM-CME review.

You can expect to:

  • Support administration of Regularly Scheduled Series (RSS) CME activities through coordination with activity planners and collection of required disclosures via DocuSign
  • Create CME evaluations and post-activity follow-up surveys using Articulate Storyline and configure and test activities within the Learning Management System (LMS)
  • Manage learner enrollments and evaluation workflows within the LMS (SumTotal/Cornerstone)
  • Close CME activity evaluations and follow-up surveys and maintain accurate activity-level data in program tracking systems
  • Generate attendance reports, learner summary reports, and documentation to support CME program compliance and reporting requirements
  • Compile American Board of Surgery (ABS) credit claims and submit documentation monthly to SPM-CME for board reporting
  • Develop and distribute CME announcement communications for webinar and enduring materials activities to targeted audiences
  • Assist with testing CME enduring materials prior to LMS course launch
  • Update CME website content including webinar recordings, schedules, licensure updates, and course materials
  • Provide LMS support including module setup, learner enrollment, troubleshooting learner issues and requests, and banner updates for course promotion
  • Support administration of MAPMG Retired Physicians Association (MRPA) and Emeritus group activities including membership tracking, LMS account setup and support, and communications
  • Serve as backup point of contact for the Medical Education department as needed
  • Assist with CME program reaccreditation preparation

What is required:
  • Bachelor’s degree or equivalent combination of education and relevant administrative/program coordination experience preferred
  • Demonstrated proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and OneNote
  • Ability to manage/manipulate large amounts of data using pivot tables, macros, and formulas is required.
  • Excellent organizational skills with strong attention to detail and ability to manage multiple deadlines simultaneously
  • Strong written and verbal communication skills and ability to collaborate with internal stakeholders and external partners
  • Ability to work both independently and collaboratively in a team environment
  • Strong customer service mindset with responsiveness and follow-through
  • Must be able to commute to Washington D.C., on as-needed basis
  • Candidates must either currently live in or be willing to relocate to the Washington D.C. metropolitan area
  • Must provide documentation of the Covid vaccine 2-dose series (or J&J 1-dose) prior to October 1, 2023, or documentation for 1-dose of the most current Covid vaccine (Pfizer or Moderna) as a condition of employment
  • Must provide documentation for the influenza vaccine as a condition of employment

Preferred qualifications:
  • Previous Learning Management System (LMS) administration experience (SumTotal/Cornerstone preferred)
  • Prior experience supporting an ACCME-accredited CME/CE program
  • Experience using DocuSign, Articulate Storyline, Adobe Acrobat, Adobe Premiere Rush, or similar tools
  • Familiarity with basic HTML/webpage content updates

The starting hourly rate for this position ranges from $25.00 to $30.00, which considers an applicant’s skills and qualifications, certain degrees and prior job experience, training, market data, and other relevant factors.
