We are seeking a friendly, organized, and detail-oriented Medical Front Office Receptionist / Patient Services Coordinator to join our growing team.
While two years of medical office experience is preferred, it is not required. We welcome candidates with strong customer service skills, a positive attitude, and a willingness to learn.
Position Summary
As the first point of contact for our patients, you will be responsible for providing outstanding customer service while managing a variety of front office responsibilities. This role requires the ability to multitask in a fast-paced medical environment while maintaining professionalism, accuracy, and compassion.
Key Responsibilities
- Greet patients, visitors, and vendors in a warm and professional manner
- Check patients in and out for appointments
- Verify and update patient demographics and insurance information
- Collect and document copayments and patient balances
- Maintain organized patient records and documentation
- Ensure smooth patient flow throughout the office
Phone & Scheduling Responsibilities
- Answer incoming calls with professionalism, courtesy, and compassion
- Schedule, reschedule, and confirm patient appointments
- Assist new patients with registration and appointment coordination
- Coordinate office testing and follow-up appointments
- Route calls appropriately to providers, clinical staff, hospitals, pharmacies, and physician offices
- Assist with phone triage and message management
Administrative & Computer Functions
- Navigate electronic medical records (EMR) and practice management systems
- Perform accurate data entry and record maintenance
- Obtain insurance authorizations and referrals as required
- Access insurance carrier websites, hospital portals, and other online resources to complete patient-related tasks
- Utilize Microsoft Office applications and web-based systems efficiently

Location: Pasadena, CA
Schedule: Full-Time | Monday-Friday | 8:30 AM - 5:00 PM (30-minute lunch)
