Job: Operations Manager

Compli, LLC, a George Butler Associates' affiliate, was founded in 2001 to provide commissioning, validation and regulatory support services to the life sciences industry.

We serve pharmaceutical and life science companies across North America. With regard to regulations and compliance, it's never been more important to understand the documentation and quality assurance activities as they relate to vendors, engineering, construction and contractors, which is why clients trust the Compli team.

We are currently looking for a highly organized individual who has a strong attention to detail to support our team. This individual will work on a wide variety of job responsibilities supporting our team. This position will act as an operations coordination hub for the senior management team. The ideal candidate will have a positive customer focus assisting both internal employees and external clients. What You'll Do:

Human Resources / Staffing

  • Manage staffing process and collaborate with HR / Talent Acquisition team to source needed personnel for project needs
  • Generate and maintain staffing plans for W-2 and contract support staff for forecasted project needs
  • Provide HR support when needed
Accounting
  • Provide accounting support when needed
  • Assist Project Managers with project set up
Document Compliance
  • Maintain contract, service agreement and insurance requirements
  • Actively evaluate and improve project experience, reference, and resume documentation
  • Manage all compliance / third party vendor management software sites required by clients (ISN, Avetta, CBRE-GRMS, SAP Ariba, Jagger)
  • Coordinate OSHA, NCCI and EMR reporting with GBA
Project Coordination
  • Oversee project accounting support to Compli management team and Project Managers
  • Collaborate with Project Managers with project bid websites, vendor qualifications, proposals, and sub consultant contracts.
  • Implement and organize procedures to maintain office efficiency and quality of documents, reports, letters, and specifications.
  • Manage various office administration tasks as needed including, coordinating group meetings, office events, conference registration coordination, licensing, etc.
Operations Management:
  • Develop resource management process and tools for Compli field-based personnel
  • Implement and manage operations resource management process
  • Assign and coordinate resources to meet project demands
  • Develop and maintain operations forecasts for service lines
  • Manage Compli's information regarding CRM system and coordinating Sale forecast in conjunction with Compli's and GBA's management team
Training Coordination:
  • Manage and maintain needed training programs and records for Compli
  • Work with Compli management team to develop training curriculums and training materials for internal and external use
External Marketing Coordination:
  • Lead creation of and manage content for proposal submissions, website and social media for Compli outreach and clients
  • And other duties as assigned.
What You'll Bring:
  • Minimum 15 years of experience required
  • Associates or bachelor's degree preferred
  • Project cost accounting knowledge
  • Prior talent acquisition experience
  • Experience working with contracts, services agreements and insurance requirements
  • Proficient use of Microsoft Office, including Excel, Word and Power Point
  • Ability to learn and acquire proficiency in specific software such as Deltek Vision and Intuit Quickbooks, Microsoft Project
  • Strong mathematical aptitude
  • Detail oriented with ability to prioritize and manage multiple projects at the same time
  • Ability to compose, edit and proofread documents
  • Excellent communication skills, both verbal and written
  • Collaborative mindset
  • Be driven to constantly evaluate and improve our office processes to drive our efficiency and productivity
  • Capable of identifying process bottlenecks and work to improve those through a collaborative approach across all departments
Travel:
  • Local personnel preferred.
