Position Description:

Teya Diversified Services, LLC is seeking a Program Coordinator to provide administrative and operational support. Working closely with the Program Manager, this position will help coordinate the day-to-day administrative activities needed to support multiple projects, field personnel, suppliers, subcontractors, and Government customer requirements.

This is a full-time remote position. The Program Coordinator will maintain project records, coordinate site access and badging, contact suppliers and subcontractors, track requests and documentation, support work order and CMMS administration, and assist with travel, purchasing, invoicing, and other program logistics.

The position requires strong organization, follow-through, communication, and attention to detail, with the ability to manage multiple priorities in a fast-paced federal contracting environment.

Duties and Responsibilities:

• Provide day-to-day administrative and coordination support to the Program Manager and project teams supporting federal O&M work.

• Maintain organized program files, correspondence, logs, trackers, reports, and other contract and project documentation.

• Contact suppliers and vendors to request pricing, confirm availability, track orders and deliveries, and obtain supporting documentation as directed.

• Support subcontractor administration by coordinating communications, collecting required documentation, tracking status, and assisting with scheduling and site logistics.

• Coordinate site access, badging, credentialing, visitor requests, and related documentation for employees, subcontractors, vendors, and other project personnel.

• Assist with work order and CMMS administration, including data entry, status tracking, documentation, closeout records, and routine reporting.

• Track action items, due dates, deliverables, and recurring administrative requirements and follow up with responsible parties to support timely completion.

• Assist with employee and subcontractor mobilization, travel arrangements, lodging, transportation, and per diem documentation.

• Support purchasing activities, including purchase requests, vendor documentation, receipts, packing slips, and coordination with Procurement and Accounting.

• Assist with invoice and cost documentation by collecting, organizing, and routing supporting records for review and approval.

• Schedule meetings, prepare supporting materials, document action items, and assist with follow-up as needed.

• Support routine customer and internal reports, spreadsheets, presentations, correspondence, and other program deliverables.

• Communicate professionally with employees, suppliers, subcontractors, Government representatives, and internal Teya departments.

• Handle program, employee, customer, and company information with appropriate discretion and confidentiality.

• Collaborate with Contracts, Accounting, Project Controls, HR, Safety, Procurement, and other Teya resources to support successful program execution.

• Other duties as assigned.

Required Qualifications and Experience:

• High school diploma or equivalent required; associate degree or additional education in business administration, project coordination, or a related field preferred.

• Two (2) or more years of administrative, project coordination, office support, or related experience.

• Strong organizational skills and demonstrated ability to manage multiple tasks, deadlines, and priorities with consistent follow-through.

• Strong written and verbal communication skills and the ability to interact professionally with employees, customers, suppliers, subcontractors, and internal departments.

• Proficiency with Microsoft Office, including Outlook, Word, and Excel, and the ability to learn project, procurement, and work order management systems.

• Ability to maintain accurate records, organize supporting documentation, and handle confidential or sensitive information appropriately.

• Ability to work independently in a remote environment while maintaining regular communication, responsiveness, and accountability.

• Strong attention to detail, customer service orientation, and commitment to safety, quality, and compliance.

Preferred Qualifications

• Experience supporting federal Government contracts, facilities, construction, O&M, or technical services.

• Experience coordinating vendors, suppliers, subcontractors, purchasing, or site access requirements.

• Experience with CMMS, work order, project management, procurement, or accounting systems.

• Familiarity with federal badging, credentialing, site-access, or security-related administrative processes.

• Experience supporting geographically dispersed teams or multiple concurrent projects.

Travel and Other Requirements

This position is primarily remote. Occasional travel to project, customer, or company locations may be required based on program needs.

Employment and assignment to specific federal contracts or project locations may be subject to federal background investigation, security, suitability, credentialing, badging, or site-access requirements, as applicable to the respective contract, customer, or project. The employee must be able to obtain and maintain any required eligibility, credentials, or access for assigned work.
